SAP Joule vs Copilot vs ChatGPT: Same 5 SAP Tasks, Side by Side (2026)

By ZaranTech Editorial Team. SAP Joule, Microsoft Copilot and ChatGPT on the same 5 SAP tasks: data access, grounding, authorizations and integrations, with a fair test method.

Quick answer: SAP Joule, Microsoft 365 Copilot, and ChatGPT are built for different data. According to SAP, Joule is grounded in SAP business data and respects each user's SAP roles. Microsoft 365 Copilot works with Microsoft 365 data and can reach SAP through connectors or the documented Joule integration. ChatGPT is a general assistant that connects to approved apps. For live SAP tasks, Joule is the native fit; for email and documents, Copilot; for general drafting, ChatGPT.

Marcus runs the SAP team at a mid-sized manufacturer. (Marcus is a fictional example.) His company already pays for Microsoft 365 Copilot, several staff use ChatGPT, and SAP has just offered a Joule rollout.

His CFO asks one question: "Why do we need three AI assistants?" Marcus decides to stop guessing and test all three on the same five SAP tasks.

SAP Joule vs Copilot vs ChatGPT: What Is the Real Difference?

The real difference is the data each assistant is designed to use and the permissions it works under.

None of the three is "better" in general. The useful question is which one fits a given SAP task, and how they work together.

Sources for this table follow in the next three sections.

How SAP Joule Handles SAP Data

Joule works inside the SAP landscape and uses the user's own SAP permissions.

The SAP Architecture Center states that Joule respects role-based access, so "a user cannot access information or adjust business processes they couldn't do directly in the SAP cloud application without using Joule" ( SAP Architecture Center ). Joule runs on SAP BTP, with SAP Cloud Identity Services handling authentication.

Joule can also use document grounding with a company's own knowledge, and teams can build custom skills and agents in Joule Studio. Outside SAP, it relies on integrations.

How Microsoft 365 Copilot Reaches SAP

Microsoft 365 Copilot reaches SAP in three documented ways: Copilot connectors, Copilot Studio agents, and the Joule integration.

  • Copilot connectors. Microsoft Learn lists SAP among prebuilt connector sources. Synced connectors index content into Microsoft Graph with an access control list, so "users only access content for which they have appropriate permissions" ( Microsoft Learn: Copilot connectors ).
  • Copilot Studio agents. Microsoft documents an SAP OData connector that supports create, read, update, and delete operations the SAP service allows, plus an SAP ERP connector for BAPIs and RFCs ( Microsoft Learn: Copilot Studio and SAP ).
  • The Joule integration. Users tag @Joule in Copilot or Teams, and the request is routed to SAP Joule ( Microsoft Learn ).
  • How the Joule and Microsoft 365 Copilot integration works

Microsoft describes it as bidirectional: Copilot users ask SAP questions through @Joule, and Joule users can reach Microsoft 365 context, such as emails from a supplier. Identity flows from Microsoft Entra ID to SAP Cloud Identity Services, which maps the person to their SAP user.

Prerequisites include a Microsoft 365 Copilot license, the corresponding SAP licenses for Joule, and SAP Cloud Identity Services. Microsoft notes it supports standard scenarios, not custom-built agents. SAP Learning adds that it is opt-in and must be enabled ( SAP Learning ).

How ChatGPT Fits Into SAP Work

ChatGPT is a general-purpose assistant: strong at explaining, drafting, and reasoning, and connected to the apps your workspace approves.

OpenAI documents connected apps for services such as Google Drive and Slack, and states that "app permissions do not grant an app new access" ( OpenAI Help Center ). For business plans, OpenAI states that business data "is not used to train our models by default" ( ChatGPT Enterprise ).

Two more facts give fair context. OpenAI models are available inside SAP's generative AI hub ( SAP News ). And SAP and OpenAI have partnered on a sovereign OpenAI for Germany offering for the public sector ( SAP News ).

The 5 SAP Tasks We Tested

We chose five tasks that SAP consultants and key users do every week, each testing a different strength.

How We Tested: A Fair Method

Every tool got the same prompts, test data, and user permissions.

  • Same system. One SAP S/4HANA Cloud test tenant with test data only. No production or personal data.
  • Same user role. A purchasing user with the same SAP role for every tool that could reach SAP.
  • Standard setup. Each tool as licensed by the test company on the test date: [SME RESULT: list Joule edition and release, Microsoft 365 Copilot license and whether the Joule integration or any connector was enabled, ChatGPT plan and connected apps].
  • Three runs per task. Each prompt run three times in a new chat, with the best and worst result noted.
  • Five criteria, scored 0 to 2. Correct, grounded in a real source, respects authorizations, completes the task, and includes the steps needed.
  • An authorization check. A user without purchasing authorization asks Task 1 again. The right answer is a refusal or no data.
  • Where a tool is not designed for a task, we record "not designed for this" rather than a low score.

Joule or Copilot? Why It Is the Wrong Question

For most SAP customers, the realistic answer is both, each in its own place, connected where it helps.

SAP and Microsoft have documented an integration precisely because people work in both worlds. A buyer may live in Teams all day but needs live SAP data. A finance user may live in SAP but needs the supplier's last email. ChatGPT, where a company approves it, often covers general drafting, research, and learning.

How to Run This Comparison in Your Own Company

You can repeat this test in about a day with a test system and the licenses you already have.

  • Pick five tasks your users actually do, not demo tasks.
  • Use test data only. Never paste real customer, employee, or pricing data into any tool outside policy.
  • Fix the user role and record which licenses and integrations are active.
  • Run each prompt three times and record what happened, with screenshots.
  • Include an authorization test. It tells you more about enterprise readiness than any demo.
