SAP Joule Grounding Explained in 1 Diagram: Why Joule Gives Business Answers, Not Internet Answers (2026)

By ZaranTech SAP Practice Team. How does SAP Joule answer from your company data and not the internet? See grounding in one diagram: retrieval, HANA Cloud vector search, and permissions.

Quick answer: Grounding is how SAP Joule gives business answers instead of internet answers. When you ask a question, Joule first retrieves the relevant data from your SAP systems or extracts it from your company documents, within your permissions. It adds those to the prompt, and the large language model writes the reply from that material, often with source links. According to SAP, customer data is not used to train the models. The model is the writer; your business content is the source.

Tanvi is an SAP SuccessFactors consultant running a Joule demo for an HR team. (Tanvi is a fictional example.) An HR manager types the same question into a public AI chatbot and into Joule: "How many days of parental leave do I get?"

The chatbot gives a polite, general answer about typical leave rules. Joule quotes the company's own leave policy and links to the document.

The manager turns to Tanvi. "Why does Joule know our policy when the other one doesn't?"

What Is Grounding in SAP Joule?

Grounding in SAP Joule is the step where Joule fetches trusted business content and gives it to the language model before the model writes an answer.

A large language model on its own only knows what it learned in training, which is mostly public text. It has never seen your leave policy, your open purchase orders, or your cost centers. Grounding fills that gap at the moment of the question.

SAP describes it plainly. According to SAP Learning , Joule responses are "grounded on business documents and links to the referenced sources by leveraging techniques like Retrieval Augmented Generation (RAG)."

The one idea to remember

The AI model is the writer, not the source. The model is very good at reading, summarizing, and phrasing. The facts come from the material Joule retrieves for you. That is why two tools using similar models can give very different answers.

How Does Joule Grounding Work? The 1 Diagram

Joule grounding works in six steps: ask, check permissions, retrieve, enrich the prompt, generate, and answer with sources.

This flow combines what SAP documents in the SAP Architecture Center and an SAP blog on document grounding in Joule .

In Tanvi's demo, step 3 found the parental leave section of the HR policy. Step 5 turned that section into a short, readable answer. The public chatbot skipped steps 2 to 4 entirely, so its model could only write from general knowledge.

What Is Joule Document Grounding?

Joule document grounding is the Joule capability that lets Joule answer questions from your own business documents, not just from SAP system data.

SAP's Document Grounding page describes it as "a foundational Joule capability which can provide more comprehensive responses by drawing from business documents located in SAP and third-party repositories." SAP lists three aims: reduce hallucinations, improve the reliability of generated content, and help users find answers on their own.

How documents become searchable

According to the SAP blog on document grounding in Joule , the setup works like this:

  • Connect a repository. The blog describes Microsoft SharePoint as the source. SAP has also published a guide for SAP Build Work Zone, advanced edition content.
  • Process the documents. A document grounding service on SAP BTP reads the files and refreshes them on a schedule.
  • Create embeddings. Each document is split into chunks, and each chunk becomes a vector, a list of numbers that captures its meaning.
  • Store the vectors. The vectors go into the SAP HANA Cloud Vector Engine.
  • Search by meaning. When a user asks the question becomes a vector too, and the engine returns the chunks closest in meaning.
  • This is why the question "parental leave days" can find a paragraph titled "Family leaves entitlement." Vector search matches meaning, not exact words.

Joule Grounding vs Internet AI: What Is the Difference?

The difference is the source: a public AI tool writes from its training data and, sometimes, the web, while Joule writes from your SAP data and documents, within your permissions.

On the last row, SAP is explicit. SAP Learning states that "any of our customers' data is not used for training purposes or any other usage for any 3rd party." The SAP Architecture Center adds that models are accessed under agreements prohibiting training on customer data.

How Does Generative AI Hub Grounding Relate to Joule?

The Generative AI Hub grounding module uses the same retrieval idea, but it is for developers building their own AI applications on SAP AI Core rather than for Joule's built-in answers.

According to the Generative AI Hub SDK documentation on SAP Help, document grounding is a RAG module within the orchestration service that "leverages the SAP HANA Vector Engine to retrieve info from relevant documents." It offers:

  • Pipeline API: turns documents from SharePoint, Amazon S3, or SFTP repositories into a vector knowledge base.
  • Vector API: lets you upload text chunks directly.
  • Retrieval API: searches the stored knowledge base.
  • Grounding module in orchestration: adds the retrieved context to the prompt, with options such as data masking before content reaches the model.
  • The SAP Architecture Center RAG reference sums up the goal: to "enhance response quality by grounding answers in relevant, real-time data, thus minimizing the likelihood of hallucinations." SAP Learning adds that the SAP HANA Vector Engine stores vectors "directly alongside your business data."

What Grounding Cannot Do: Limits Every Consultant Should Know

Grounding improves answers, but it cannot fix missing, outdated, or badly written content.

  • Old documents give old answers. If last year's policy is still in the repository, Joule may quote it.
  • Conflicting documents confuse retrieval. Two versions of the same policy can produce a mixed answer.
  • Permissions limit answers. If a user cannot see the data, Joule should not show it. That is correct behavior, not a bug.
  • Risk is reduced, not removed. SAP says grounding helps "reduce hallucinations," not that it removes them.
  • Context goes beyond documents. SAP also describes the SAP Knowledge Graph , which maps connections between data and processes so agents find the most relevant data.
  • Five content checks before you switch on document grounding

  • Remove outdated and duplicate documents.
  • Give each document a clear title and owner.
  • Use headings so chunks keep their meaning.
  • Separate content by audience where permissions differ.
  • Test 20 real user questions and check every source link.
  • What Does Joule Grounding Mean for SAP Consultants?

Grounding turns Joule projects into content and data projects, so every SAP role has a part to play.

The model is supplied by SAP. What makes answers useful is the material behind it, and that material is owned by the business and shaped by consultants.

A 30-minute exercise you can do today

You do not need a Joule system for this. Pick one policy your client or team uses often, such as a travel or leave policy.

  • Write five questions users really ask about it.
  • Find the exact paragraph that answers each question.
  • Mark any question with no clear answer, or with two conflicting answers.
  • Rewrite those paragraphs so a single chunk answers each question.
  • If most questions fail step 2, the document is not ready for grounding, however good the AI model is. That is a useful finding to bring to any Joule workshop.

    SAP Joule Grounding FAQs

What is grounding in SAP Joule?

Grounding means Joule fetches relevant business data or company documents at the moment you ask, adds them to the prompt, and the language model writes the answer from that material, usually with source links.

Is SAP Joule trained on my company data?

No. According to SAP, customer data is not used to train the models. Joule retrieves your data at question time, within your permissions, and passes only the relevant extracts to the model.

    What is Joule document grounding?

It is a Joule capability that lets Joule answer from business documents in SAP and third-party repositories. Documents are split into chunks, stored as vectors in SAP HANA Cloud, and retrieved by similarity.

Does grounding stop Joule from hallucinating?

It reduces the risk, as SAP states, but does not remove it. Answers are only as good as the documents and data retrieved, so users should check sources for important decisions.

What is the difference between Joule grounding and Generative AI Hub grounding?

Joule document grounding feeds Joule's own answers. The Generative AI Hub grounding module is for developers building their own AI apps on SAP AI Core, using the same retrieval pattern.

    Back to Tanvi's Demo

Tanvi does not explain vectors to the HR manager. She draws six boxes on the whiteboard: ask, permissions, retrieve, enrich, write, answer with sources.

Then she says one line: "Both tools use a capable writer. Only Joule was handed your policy before it started writing."

The HR manager's next question is the right one: "So who keeps our policies up to date?" That is where the real grounding project begins.
